HelpHome and Tasks

Home, Tasks and notifications

What your Home page counts, how Tasks works, and where the bell and emails tell you of changes.

Home

Home greets you by the time of day (Good morning, Good afternoon, Good evening, Good night) and has three parts for what you do. The areas you may open are in the sidebar.

Needs your attention lists the records that wait on you to act, one row each: the record, why it is there, and one button that opens what deals with it. Only what you may act on: a buyer sees an RFQ that is due and short of quotations (Chase vendors), a reminder to a vendor that waits for a click, a reply to enter as a quotation, a price agreed by phone still to be confirmed, a vendor's question to answer, an award to send for approval, and POs that are held by a check, declined by the vendor, ready to issue, waiting for their SAP number or not yet sent; an approver sees the approvals waiting for them (Decide). The urgent come first (a quotation short at its due time, a PO a check holds or a vendor declined, an approval that was escalated to you), then the oldest. The first six show; Show all shows the rest. When nothing waits on you, the part is not there.

The buttons at the top right are for what you most often do, and only for what you may do. The first two show (a buyer's are Enter a quotation and New RFQ; a requester's, New request) and More holds the rest: New PO, Add a vendor, New request and Tasks.

Your work counts what concerns you: one card of numbers, each opening its list. A line under a number shows only where something needs a look (due soon, held by a check, declined, not sent, waiting for you); a zero is quiet.

Search everywhere

Press Ctrl+K (⌘K on a Mac) on any page, or choose Search in the sidebar (on a phone, in the menu). Type a few letters of a number or a name: the pages you may open come up at once (type *logo* to reach Branding, *who did what* for the audit), and below them the RFQs, purchase orders, vendors and materials that match, a few of each, with one line about each. Use the arrow keys and Enter, or tap one; Esc closes it. You find only what you may open: a requester finds materials, but not RFQs, purchase orders or vendors, which carry prices. Two letters at least.

Tasks

Tasks lists everything waiting for your decision, oldest first. Open one to see the record (the comparative statement beside an award, the documents beside a vendor) and decide:

  • Approve, optionally with a comment.
  • Approve with changes (when the policy allows approvers to change it): say what you changed.
  • Send back: back to the sender to change and send again, with your reason.
  • Reject: the request ends, with your reason.

Away? The Tasks page has an Away? card: name a stand-in who decides for you while you are away. Their decisions say "on behalf of" you.

Approvers can also decide from the email on a phone: the link asks for a code sent to the same address, then shows the record and the same buttons.

The bell and emails

The bell counts what changed for you: an award approved or sent back, a request accepted or rejected, a vendor's answer to a PO, a download ready. Mark all read clears it. The same news comes by email, from SourcePro's address, so you never miss it when you are not signed in.
