Your mailbox and email

Connect your own mailbox so RFQs and POs go from you, and replies come back to the right RFQ.

SourcePro sends RFQs and POs from each buyer's own mailbox, never from a shared address: vendors see your name, and reply to you. SourcePro reads the replies and files each against its RFQ or PO.

Connecting your mailbox

Email (sidebar) → choose yours:

MailboxHow
Gmail or Google WorkspaceContinue with Google, and allow SourcePro
Microsoft 365, Outlook.comContinue with Microsoft, and allow SourcePro (your IT may need to approve it once: the page gives them the link)
Your company's mail server (Exchange, Zoho, Rediffmail Pro, your host's mail)Your company admin names the server once (Name the mail server, with presets); then Connect with your password

For a Gmail through "your company's mail server", use an app password (Google Account → Security → App passwords), not your normal password.

Your password or sign-in is kept sealed: nobody can read it, and Disconnect forgets it.

What you see

  • Recent emails: what SourcePro sent from your mailbox.
  • Replies to file: vendor replies SourcePro could not match to an RFQ by itself: pick the RFQ, or Set aside. Also an email that names one of your open RFQs but comes from an address SourcePro does not know (a vendor's colleague answering from another address): the bell tells you, you choose the vendor it is from and file it, or set it aside. Your company's admin can turn this off under Settings → Rules (Keep an email that names an RFQ from an address SourcePro does not know, for the buyer to file); then such an email is not read. Once you file such an email on a vendor, that address becomes one of the vendor's people (the vendor's page lists it with the others, where you can remove it), so the next email from it is found by itself, and a toast says so. A candidate not on the vendor list has no people to add to, and you need the permission to change vendors; otherwise the toast says the address was not added and you can add it on the vendor's page. Your admin can turn this off under Settings → Rules (Remember the address of an email the buyer files, as one of the vendor's people).
  • When your mailbox needs connecting again (a changed password, a revoked permission), Email and the bell say so; RFQs and POs wait until you connect it again.

SourcePro's own messages (sign-in codes, approvals, reminders) come from SourcePro's address, not your mailbox.
